The City is announcing a new opening for a Clinic Program Coordinator within the Public Health and Community Services Department.  Options are being considered for full or part-time employment based on departmental needs and candidate availability.  The general function and responsibility of this professional position is to coordinate and manage they day-to-day operation of the Immunization, Travel Medicine and STD Clinic located within the Public Health and Community Services Department.  The Clinical Program Coordinator will be responsible for ensuring the smooth and efficient delivery of clinic services including routine childhood vaccines, influenza vaccines, COVID vaccines, travel medicine, and STD testing. This requires extensive coordination with patients and clinic nursing staff as well as vaccine suppliers, insurers, medical supply vendors, and organizations seeking to host off-site vaccine clinics.  The Clinical Program Coordinator will report directly to the Public Health Program Manager. 

 

Some of the Duties of this Position Include:

  • Answer incoming calls to the clinic and provide clinical and non-clinical information and/or schedule appointments as necessary

  • Work with a variety of vendors to procure necessary vaccine at the lowest cost

  • Coordinate with the Public Health Program Manager to set vaccine prices for the general public dependent upon the price paid to the vaccine supplier

  • Maintain vaccine and other supplies in the appropriate refrigerator and/or freezer, and maintain temperature logs to ensure vaccine viability and adherence to state and federal mandates

  • Enter temperature logs into Immpact data management system at required intervals per State regulations

  • Assist with identification of temp excursion, quarantine of vaccine and investigation of viability of vaccine when needed

  • Arrange calibration of temp log thermometers according to due dates

  • Record all vaccine in the Immpact system and reconcile with actual inventory every 30 days

  • Ensure that the appropriate vaccine is available for all appointments scheduled

  • Track vaccine and medical supply expiration dates and minimize wastage of vaccine

  • Coordinate nursing staff schedules to cover clinic appointments

  • Organize mobile clinics with outside partners such as schools to schedule and coordinate mass vaccination clinics for influenza, childhood vaccines and COVID.  Schedule nursing staff, order all necessary vaccine and materials, maintain packing lists, pack supplies and oversee operations to ensure a successful clinic

  • Enter data into the Immpact2 system for all patients receiving vaccine of any kind

  • Coordinate ImmPact user agreements for all clinic staff and ensure annual training is conducted and recorded as required

  • Generate invoices for all services performed through the Immunization and Travel Medicine Program and track all payments.  Resubmit invoices when payment not received in a timely manner

  • Bill all vaccine administration fees through a third-party biller per department policy

  • Answer all incoming calls regarding STDs and provide appropriate information as well as appointments when necessary

  • If clinical staff is unavailable, collect urine specimens of STD patients, process as directed and prepare for shipment

  • Communicate with State lab to track STD test results

  • Complete and submit State notification forms as required for positive STD results

  • Process accounts payable for the entire Health & Community Services Department

  • Prepare deposits of clinic income as well as other income coming into the Department

  • Act as one of three staff members in the Department who process weekly payroll

  • Train and assist in the supervision of the Clinic Administrative Assistant

  • Monitor inventory and order office, paper, cleaning and other supplies for the Department

  • Actively participate in clinic audits and corrective actions if warranted

  • Work closely with the program manager to give input regarding clinic and program needs

  • Assist the program manager with staff hiring

  • Other duties as assigned

 

Ideal candidates will possess the following:

  • Understanding of and experience with immunization and travel medicine guidelines as outlined by the U.S. Centers for Disease Control and the Advisory Committee on Immunization Practice

  • Understanding of and demonstrated competence with vaccine procurement, storage, monitoring, and recording

  • Ability to serve as the Department’s Vaccine Coordinator through the Maine CDC Immunization Program

  • Knowledge of State and Federal Centers for Disease Control guidelines regarding the testing for and treatment of sexually transmitted diseases

  • Ability to monitor changes in clinical standards and share such information with the Program Manager and clinic staff

  • Ability to work independently and as part of a multidisciplinary team

  • Ability to plan, coordinate and manage both clinical and non-clinical aspects of the Immunization and STD program

  • Ability to build logical approaches to address problems or opportunities as they arise

  • Ability to manage unexpected or unusual situations by drawing on knowledge and experience or calling on other references and resources as necessary

  • Experience working with community partners around a specific goal such as a large, off-site vaccine clinic

  • Ability to efficiently schedule staff to meet the clinical needs of the Immunization and STD program

  • Ability to function effectively under unexpected surges in workload

  • Thorough understanding of and adherence to HIPAA privacy standards

  • Extensive experience with purchasing, invoicing, accounts receivable, and payroll

  • Excellent written and verbal communication skills

  • Excellent command of Microsoft Office products

  • Excellent data management skills

  • Baccalaureate degree or commensurate experience in a clinical setting, preferably immunization and travel medicine

     

Pay range $23.74 to $31.94 per hour up to 37.5 hours/week).
